Responsibilities

  • Have a comprehensive understanding of structural building systems.
  • Have a comprehensive understanding of the services performed at the building as well as applicable contract language. (i.e. Landscape, Asphalt, etc.)
  • Assist in the RFP process when rebidding service contracts.
  • Approve One-Time Agreements and Service contracts.
  • Utilize Prism to perform routine building inspections; Identify deficiencies and recommend action steps.
  • Review tenant work order billback report via Prism.
  • Utilization, input, and maintenance of information into Prism work order program.
  • Assist in writing the narrative section of the monthly financial report(s).
  • Track lease options and encumbrances.
  • Prepare tenant welcome packets and onboarding materials.
  • Process A/P invoices (coding, entering and obtaining proper approvals).
  • Assist in A/R process, including charges to tenant accounts and assisting in tenant rent collections.
  • Arrange for utility transfers upon acquisition and/or disposition of an asset; also, arrange for transfers upon tenant move out or move in.
  • Utilizing Prism and Jones software, contact existing tenants and vendors to obtain current insurance coverage, any ongoing required maintenance contracts, and emergency contact lists.
  • Review expense coding prior to property managers’ approval. Review vendor monthly statements and request outstanding invoices for processing.
  • Assist property managers and maintenance technicians with coordination of tenant repair requests.
  • Assist property managers with vendor contract preparation and manage/organize the completed documents.
  • Review vendor statements; obtain outstanding invoices for processing.
  • Assist with tenant relation activities (email blasts, events, gifts, surveys, etc.).
  • Complete expense reports for property managers and submit for approval and processing.
  • Prepare vendor contracts, manage/organize the completed documents and enter into property management software upon execution.
  • Collaborate with Operations team on property tax appeal documentation and other administrative tasks related to property tax appeals.
  • Collaborate with property managers to process lender funding packages for capital projects, tenant improvements, commissions, etc.
  • Assist property managers on CAM reconciliations, annual budgets, and any other necessary schedules.

 

Qualifications

  • Requires 1-3 years’ experience in Property Administration, management, or related field and/or training.
  • Ability to use computer software and web-based applications.
  • Proficient knowledge of the Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook).

Overview:

Brennan Investment Group is seeking a Portfolio Operations Administrator to support the asset management function of a private real estate investment firm with a national portfolio of industrial properties. This role supports property management and lease administration for a geographically diverse portfolio of single-tenant, net-leased (STNL) industrial assets. Key responsibilities include managing property tax payments and insurance coverage, supporting Asset Managers with billing adjustments and lender reserve draws, collecting tenant financials, handling routine tenant communications, and coordinating site inspections.

Responsibilities

  • Assist in managing an assigned set of properties with adherence to Brennan’s Operating Principles and in accordance with Brennan’s national operating Policies and Procedures.
  • Primarily assist the STNL Asset Managers in the management and administration of the STNL portfolios, including:

— Administration of STNL property taxes, including tracking and ensuring all tax payments are made in a timely manner; managing tenant tax escrows and related billings; overseeing lender tax impounds/escrows; and tracking and coordinating property tax appeals and other related matters.

— Administration of STNL insurance to ensure all STNL properties maintain appropriate insurance coverage, including tenant communications; coordination and collection of insurance documentation (EOP, COI, flood); tenant billings; management of lender insurance requests and impounds; and regular coordination with third-party risk management consultants.

— Assist STNL Asset Managers with regular, recurring communications with existing tenants (annual or quarterly), including but not limited to annual rent increases and tenant lease requirements such as the collection of tenant financial statements and compliance with maintenance and repair requirements.

— Assist STNL Asset Managers with requested billing adjustments in MRI (accounting system).

— Assist STNL Asset Managers with payment of vendor invoices via Avid AP and expense coding in MRI.

— Assist STNL Asset Managers in maintaining tenant contact lists for each STNL portfolio.

  • Onboarding of new properties and tenants, including:

— Upon lease execution, coordinate with Legal on the preparation of lease abstracts.

— Entering new lease terms into MRI and ensuring the rent roll is accurate and matches the lease rent schedule.

— As applicable, arrange for the transfer of utilities and vendor services to new tenant accounts or to BIG STNL in the event of a tenant move-out.

Maintain portfolio and property contact lists, including tenant and local property/facility manager contacts.

— Ensure smooth transfer of property tax accounts to the new ownership entity and address.

— Assist the STNL EVP in regular updates and preparation of the STNL Monthly Meeting

  • General coordination and collaboration on all matters above, as well as other ad hoc tenant requests, with internal BIG departments and/or external consultants, including Accounting (AP, AR, property accountants), Legal and Due Diligence, and property tax appeals and insurance risk management consultants.
  • Assist STNL Asset Managers with general lender reporting and ad hoc submittals related to insurance compliance, reserve draws, and the tracking and compliance of borrower- and tenant-required repairs.
  • Assist STNL Asset Managers in the coordination of site visits with tenants for portfolio transactions, including refinancings, recapitalizations, and dispositions.
  • Other general STNL portfolio administrative duties as assigned.

Qualifications:

  • Requires a minimum of 5 years of experience supporting a team, with 3 years’ experience providing support within commercial real estate through lease administration, insurance, property management, or a related field.
  • Bachelor’s degree required.
  • Strong working knowledge of Microsoft operating systems and shared file environments (including SharePoint).
  • Proficiency in the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience with AvidXchange and MRI strongly preferred.
  • Familiarity with Power BI and/or any other internal dashboards is a plus.

Overview:

Brennan Investment Group is seeking a Property Coordinator! The Property Coordinator position supports the asset management function of Brennan Investment Group, a privately held industrial real estate investment firm which acquires, develops, and operates industrial properties in select major metropolitan markets throughout the United States. Under the general supervision of the National Property Administrator and day-to-day direction of the Property Managers, the Property Coordinator (PC) will collaborate with the operations, accounting and leasing teams to manage a portfolio of assets located in the Atlanta and Memphis regions. The PC will be responsive to tenant and vendor needs while completing multiple administrative tasks daily. The position will be fast-paced, requiring the PC to handle time-sensitive and/or confidential issues.

Responsibilities

  • Process A/P invoices (coding, entering and obtaining proper approvals).
  • Assist in A/R process, updating tracking spreadsheets for tenant rent collections.

  • Prepare vendor contracts in collaboration with Property Managers, organize and maintain completed documents, and ensure executed contracts are entered into property management software.
  • Review vendor statements; obtain outstanding invoices for processing.
  • Support Property Managers in responding to tenant calls and requests, following direction from the Property Manager.
  • Use property management work order software to review requests and assist with follow-up upon completion.
  • Assist with tenant relation activities (email blasts, events, gifts, surveys, marketing, etc.).
  • Complete expense reports for property managers and submit for approval and processing.
  • Collaborate with Operations team on property tax appeal documentation and other administrative tasks related to property tax appeals.
  • All other duties as assigned by the supervisors.

Brennan Investment Group (BIG) is seeking a motivated and detail-oriented Asset Management Intern to join our 2026 Summer Internship Program! This full-time internship (40 hours per week) offers hands-on exposure to industrial real estate investment, asset management, property management, and leasing operations.

Overview:

Brennan Investment Group (BIG), is a privately held industrial real estate investment firm which acquires, develops, and operates industrial properties in select major metropolitan markets throughout the United States. The Asset Management Intern will provide asset management, property management and lease administration support.

As an Asset Management Intern, you will support the Asset Management team by assisting with portfolio analysis, operational reporting, budgeting tools, and administrative functions across multiple departments. Interns will gain practical experience working within real estate platforms, participating in operations meetings, and collaborating with cross-functional teams. The program also includes job-shadowing opportunities within the Midwest Operations division and a capstone project where interns partner with peers to analyze and present a drafted deal to BIG’s Executive Committee.

Hours: Full time; 40 hours per week

Location: Rosemont, IL

Responsibilities

  • Assist in analysis and monitoring of investment portfolios.
  • Participate in Operation meetings and contribute to strategic discussions.
  • Learn and work within Property Management and Budgeting platforms.
  • Perform administrative tasks and provide general support to the Asset Management team including Property Management and Leasing.
  • Organize and input existing data using Excel spreadsheets and review data for deficiencies or errors.
  • Provide secondary support to the Marketing department by updating broker data and regional markets data.
  • Job shadow within Midwest Operations division.
  • Collaborate with interns from related departments to create and present a drafted deal to the Executive committee.
  • Perform other duties as assigned.

 

Qualifications

  • Rising Senior pursuing a bachelor’s degree in finance or business administration, and with an emphasis in real estate, from a four-year college or university.
  • Demonstrated interest in industrial/commercial real estate, with experience participating in real estate-based activities.
  • Ability to consistently maintain a professional demeanor.
  • Demonstrated ability in verbal and written communication skills.
  • Proficient working knowledge of Microsoft Office suite (e.g., Word, Excel, PowerPoint, Outlook)
  • Good mathematical and analytical skills.
  • Familiarity with ARGUS is a plus.
